Employment Hero Compliance Documents: Get the Order Right

Checked against Employment Hero’s Help Centre and current Australian guidance on 13/08/2026.

The short version

  1. Required policies, induction items and certifications only protect the business when acknowledgements, expiry rules and reporting are configured together.
  2. Employment Hero supports VEVO checks, but visa status must still be read against the employee’s role and work conditions.
  3. Employment records must be kept for seven years, so the build needs durable storage, access controls and an evidence trail.

Full detail below.

Employment Hero compliance documents: five connected controls

Five connected controls sit under Employment Hero compliance documents: policy and induction sign-off, certifications, secure document storage, work-eligibility checks through VEVO (Visa Entitlement Verification Online, the Department of Home Affairs system), and the reporting that ties them together. Payd Co holds Employment Hero Certified Partner status. When these controls are configured separately, missed acknowledgements and permission gaps tend to surface later.

Employment Hero’s help content treats each piece as a separate how-to. None of it explains what that order changes for compliance documents later.

Phase What it sets up Where it bites if skipped
Policies and induction Mandatory policy logic and induction content Acknowledgements go missing, with no record of who was chased
Certifications Expiry, renewal, evidence and approval rules Licences expire without an owned follow-up process
Document management Reporting-line access and secure document storage Managers get locked out of documents that are rightfully theirs
VEVO checks Work-eligibility verification against Home Affairs visa data A mismatched detail reads as a failed check
Compliance reporting One area surfacing every outstanding item Nobody notices a gap until an inspector or auditor asks

Set policies and induction content up before anyone can ignore them

Policies and induction content are the first of the five controls, and they are often left too loose. Leave an induction item optional and it stays invisible to compliance reporting, with no weekly nudge sent. That may suit a reference page nobody needs to acknowledge. Mark it required and Employment Hero nudges the employee weekly until they confirm they have read it, keeping the item visible in reporting.

Induction content can be an uploaded file or a linked video, covering practical first-week detail alongside culture and leadership material. The decision that matters happens earlier: what counts as mandatory, decided before your first cohort goes through it, not after acknowledgements are already patchy.

Employees can still open an archived policy to read it, but Employment Hero stops accepting a fresh acknowledgement against that version once it has been replaced. Anyone who has not yet signed off loses the ability to do so on the version they were shown.

Configure certifications before assigning them

Certifications turn expiry-prone evidence into an assigned requirement with reminders, supporting documents, approval and reporting. Examples include White Card and trade licences in construction; RSA and food-safety supervisor credentials in hospitality; and Working With Children Checks or NDIS Worker Screening in SCHADS organisations.

The current Australian Help Centre states that certification details cannot be edited after the certification is saved. Earlier regional documentation referred to a 12-month editing window, but that is not the current Australian rule we found. We therefore settle the name, one-off or renewing status, expiry logic, audience, evidence requirement and approver before saving. If the requirement later changes, we document the replacement and reassign it through a controlled migration instead of editing production records ad hoc.

Who can see an employee’s documents

Document permissions do not always follow the org chart. Employment Hero treats reporting-line access as something an admin switches on per document, not granted automatically by team or security settings. That catches managers already in the right team with correct security settings, still locked out of an employee’s uploaded documents until an admin steps in.

This gap tends to surface after go-live, once a manager asks why they cannot see a file they assumed was theirs. Getting the wider permission structure sorted first will not remove this per-document step, but it does mean an admin already knows to check for it. Our guide on getting permissions right before adding employees covers that broader setup.

It is a small setting to check, but it decides whether compliance documents stay visible to the people who need them.

VEVO checks: what they confirm and why they fail

VEVO checks are not the first move for every new starter. Australian citizens do not need one at all: Home Affairs treats a passport or citizenship certificate as sufficient proof of work rights. VEVO instead answers what conditions attach to a visa, for people who hold one.

Once onboarding captures that a new starter is not a citizen or permanent resident, an admin can run Employment Hero’s automated VEVO check against that person’s details from the Work Eligibility area. The platform also warns if the employee has not ticked its consent acknowledgement. The organisation must decide whether another valid permission process exists before proceeding. When a check fails, compare the identity and passport fields with the visa grant record before escalating the result.

VEVO status belongs in that same compliance documents picture, tracked through reporting instead of filed away as a one-off check.

Compliance reporting: three reports plus certification evidence

Policy acknowledgements, work-eligibility status and document sign-off each have their own report. Certifications provide a fourth evidence view for assigned, current, expiring and overdue requirements. Employment Hero keeps these views separate, so Payd Co assigns one owner and review cadence across them.

Three reports cover that ground:

  • The Policy and Induction report flags who is overdue against who has acknowledged, with a reminder sent straight from the results.
  • The Work Eligibility report filters by visa type, status, location, team and entity, and exports to CSV.
  • The HR Documents report shows the stage each document has reached, including contractors caught by a Personnel Type filter, and also exports to CSV.

The Certifications report completes the control set. It shows the status of assigned certification requirements and gives the owner a list of records that need approval, renewal or follow-up.

Keep employment records for seven years

For seven years, Fair Work requires employer records to stay legible, in English, and ready to hand to an inspector on request, with only a genuine correction of an error allowed afterward. The required set spans superannuation, leave, hours worked, pay and how employment ended. This retention period shapes deletion rights, offboarding and who can export evidence; it is not just a reporting preference.

An employee, current or former, can always ask to see their own file. Beyond that, Fair Work limits viewing to the employer, whoever runs payroll, and an accountant given that authorisation.

Run those reports properly and you cover policy, certification, eligibility and document evidence. Payroll records for pay, hours, leave and super still need to hold up on their own. We assign a report owner and review cadence so overdue items are resolved while supporting evidence is still available.

Where compliance documents sit in a wider Employment Hero build

Employment Hero compliance documents are one piece of a wider platform build for most businesses we work with. Payd Co’s own configuration work covers VEVO checks, certification and licence tracking, policy management, and award and legislative compliance, part of our HR technology configuration, inside the six-step process covered in our implementation support work.

Getting the sequence right the first time sits inside a wider Employment Hero payroll and HR platform build, one step in the implementation sequence from discovery to go-live. Keeping compliance documents current is part of that same build, not an afterthought.

Why would an Employment Hero VEVO check fail even though the employee’s visa is valid?

Most failed VEVO checks come down to a data-entry mismatch instead of a system fault: the passport number, its expiry, country of passport, date of birth, visa expiry date or full name not matching the Immi visa grant notification exactly. If everything checks out and the fail persists, VEVO may be mid-maintenance, so retrying after 24 hours is worth doing first.

What happens if an employee never acknowledges an assigned policy in Employment Hero?

Nothing in Employment Hero forces that acknowledgement through automatically. The policy stays open and shows as overdue in the Policy and Induction report until the employee formally acknowledges it. An admin can filter that report for outstanding items and send a reminder straight from the results, which is the practical way most stalled sign-offs get resolved.

Can Employment Hero show which employees still have outstanding compliance documents or unacknowledged policies at a glance?

Yes, this reporting covers three separate, filterable views: policy and induction status, work-eligibility status and HR document status. The Work Eligibility and HR Documents reports also export to CSV, and the latter catches contractors through a Personnel Type filter so nobody outstanding gets missed because of how their record is classified. The Policy and Induction report sends an individual reminder straight from the results; the HR Documents report goes further, offering one person, a chosen group, or everyone still owing a signature as reminder targets.
